Junior Studio Administrator

Ziba is looking for a curious Studio Administrator to join our Operations team. Simply put, this role has two deep roots:

  • Full ownership of the fundamental needs of our studio. In essence, this is Office Management for approximately 75% of your time to start.
  • Leveraging your special talents to advance a chosen passion area in the studio. We’ll help expose you to the possibilities--but first we want to hear about your interests! Do you thrive hosting dinner parties? Are you a passionate photographer? Do you break things only to put them back together?

This role will work with the rest of the front-of-house team to provide exceptional experiences for team members, clients, and visitors. Responsibilities include monitoring all reception activity, hosting executive team guests, answering calls, managing conference room calendars, ordering supplies and greeting guests. Above the essential office management duties, this role will have the opportunity to contribute to areas within Ziba that are outside of the typical administrative realm (e.g. supporting project work or research, building models or prototypes, proofing or contributing to copywriting, etc.).

No job is considered too large or too small; this position could prepare for multiple high-profile meetings on one day and help a project team conduct a collaboration session on the next. Whichever it is, the right attitude will be key.

You are willing to learn and own:

  • Reception and front of house hosting
  • Working alongside Studio Facilities Manager to maintain beautiful and functional public spaces
  • Providing outstanding service for our internal teams and external clients
  • Ordering, arranging, and clearing away meals for meetings
  • Proposing new and reinforcing existing policies and procedures
  • Supporting the executive team
  • Speaking clearly and maintaining a professional appearance
  • Proactively strengthening your administrative skillset for organization and attention to detail
